Office Manager / Exec Admin

New York, NY is seeking an Office Manager & Exec Admin to join our growing team in our luxury new office space in Midtown. The ideal candidate must be highly organized and energetic with strong communication skills and the ability to multi-task and consistently follow through. The Office Manager & Exec Admin should be comfortable working in a fast-paced environment handling a wide variety of activities. This is a hybrid role; 3 days/week in office and 2 days remote. This role reports to the CEO & HR Manager.


  • Manage office on a day to day basis (3 days in person)
  • Plan and organize company meetings, including scheduling, sending reminders, and catering when necessary
  • Coordination of building/office access for office staff, guests, and reserving meeting rooms when applicable
  • Liaising with corporate finance team to ensure submission of monthly expense reports and deposit checks sent to office
  • Create and maintain comprehensive and accurate meeting notes (CEO and other senior leaders)
  • Assist in managing the CEO’s calendar, including making appointments, prioritizing the most sensitive matters, and overall calendar optimization
  • Contribute to special project initiatives assigned by CEO & other senior leaders
  • Coordinate travel and accommodation arrangements


  • 2+ years work experience and a drive to succeed
  • Responsible professional with excellent attention to detail and strong communication skills
  • Outstanding organizational and time management skills
  • Resourceful problem solver able to anticipate and proactively solve issues that may arise
  • Skilled in MS Office suite
